Who we are
Wahiawa Health and Wellness Association is a nonprofit organization serving Wahiawā and central Oʻahu. We run community health and wellness programs, coordinate volunteers, and support local initiatives.
This policy explains what information we collect through our website and programs, why we collect it, and what we do with it. It applies to whawahiawa.org and to the services we operate, including Kōkua Board, our volunteer coordination service.
We do not sell your personal information. We never have and we have no plans to.
What we collect
When you simply visit the website
Standard web server information: your IP address, browser type, the pages you viewed, and the site you arrived from. This is collected automatically and we use it only to understand whether the site is working and which pages people find useful.
When you contact us
Your name, email address, phone number if you give one, and whatever you write to us.
When you sign up for our newsletter
Your name and email address.
When you donate
Your name, email address, mailing address, and donation amount. Payment card details go directly to our payment processor and never reach our systems. We receive a confirmation and the last four digits, nothing more.
When you volunteer or join a program
Additional information depending on the program. For volunteering through Kōkua Board this includes a date of birth, emergency contact, and any medical information you choose to share. That service has its own detailed notice at kokuaboard.com.
When you attend an event
We may take photographs. If you would prefer not to appear in them, tell any staff member or volunteer at the event and we will respect that.
Cookies and analytics
We use cookies that are necessary for the website to function, and [we use / we do not use] basic analytics to count visits and see which pages are read.
We do not use advertising cookies, and we do not allow third parties to track you across other websites from ours.
You can block or delete cookies in your browser settings. Some parts of the site may not work properly if you do.
Why we collect information
-
To reply when you contact us
-
To send you the newsletter you asked for
-
To process and acknowledge donations, and to meet our record-keeping obligations
-
To run programs you have signed up for, and to keep people safe while they take part
-
To report anonymized, aggregate numbers to funders and to our board
We do not use your information to build a profile of you, and we do not use automated decision-making.
Who we share it with
We share personal information only in these circumstances:
- Service providers who work on our behalf — a payment processor, an email delivery service, a website host — and only what they need to do that job. - Program partners, where you have signed up for a program run jointly with another organization, and only the information needed to run it. - When the law requires it, or to protect someone's safety.
We do not sell, rent, or trade personal information. We do not share it with advertisers. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
How long we keep it
- Donation records — seven years, as required for financial and tax records. - Newsletter subscriptions — until you unsubscribe. - Program and volunteer records — as long as the program requires, and for service hour records, indefinitely, so they remain verifiable years later.
Children
Our website is not directed at children under 13, and we do not knowingly collect personal information from them.
Children do take part in our programs. Where they do, a parent or legal guardian provides all consent and all information. A parent or guardian may ask to see, correct, or delete anything we hold about their child by contacting us.
If you believe a child has given us information without a parent's involvement, contact us at ashley.b@whawahiawa.org and we will delete it.
Your choices
- See what we hold about you — email ashley.b@whawahiawa.org and ask. - Correct anything wrong — same address. - Have it deleted — same address. Some records we must keep, such as donation records for tax purposes, and we will tell you if that applies. - Stop emails — click unsubscribe in any newsletter, or email us. - Stop text messages — reply STOP to any message.
We will respond within 30 days.
Security
We use encrypted connections, hosted services with access controls, and we limit who on our team can see what.
No system is perfectly secure, and we are a small community organization rather than a large company. If we discover that personal information has been exposed, we will notify the people affected and any authority required by law.
Other websites
Our site links to other organizations. Once you follow a link, you are on their site under their policy, not ours. We are not responsible for how they handle your information.
Changes to this policy
If we change this policy we will update the date at the top. If a change materially affects how we use information you have already given us, we will tell you directly.
